Wilde Acres LLC Hiring for Receptionist at Reisterstown, MD Full Time

Receptionists greet clients, set appointments, and process payments. They’re the first person a Client encounters in the office or on the phone, and as such should make the experience pleasant for everyone while adhering to the guidelines set by Wilde Acres. The Receptionist creates, plans and coordinates a variety of service functions that are related to the schedule, intake and financial aspects of the business. These functions include, but are not limited to, providing excellent customer service skills both verbal and written. Must be very detail oriented and remain attentive while listening and documenting each individual dog’s needs. Also Organization, good communication, fast response are mandatory to provide the best care, and basic needs of dogs boarding. This position also requires good communication with the owner of Wilde Acres and Kennel Manager, Grooming department and the Trainers. The Receptionist reports to the Lead Receptionist and the Owner of Wilde Acres and will work closely with other Teammates and Consultants to provide the highest level of care for each individual dog.

PRIMARY JOB RESPONSIBILITIES:

• Provided the highest level of customer service.
• Ability to work independently on assigned tasks as well as to accept direction on given assignments.
• Applying knowledge of commonly used terminology in order to accurately communicate specific information to the team.
• Answer phones and respond to voicemails promptly in a polite and professional manner.
• Check and Respond to emails promptly in a professional manner.
• Properly Schedule dogs for their stays following the guidelines set by the Lead Receptionist and Owner of Wilde Acres.
• Obtain either from the client or the Veterinarian and check for vaccination issues and lapses before dogs stay with us.
• Communicate the Vaccination issues to the client so that they will have time to rectify before the dog stays with Wilde Acres. Reminder it can take up to two weeks for the client to get an appointment with their Veterinarian.
• Using sales techniques and providing descriptions of training packages. Sell training retreats, up sell SSB to board and train, up sell grooming services.
• Maintain the front office and desk. Clean, safe, organized, and free of odor. Cleaning of the front should be done daily and as needed throughout the day.
• Properly use Wide Acres computer software Ginger to check in/out clients.
• Create a run card with each dog’s information.
• Properly label (as needed) and record any belongings that the client brings for the dog making sure that they meet the requirements of what is allowed. Please return any belongings that do not meet this requirement to the client before they leave.
• Document and count all medications that are being brought in for each dog.
• Make sure that you are going over with the client the medication schedule for each individual medication. (Sometimes dosages of medications can be changed by the veterinarian of the client and are not reflected on the medication bottle.) When counting the medication make sure that you have enough for the entire stay. If you will not have enough you need to make the client aware to ensure that they will obtain and bring more before the dog will run out. With some medications it is extremely important not to skip a dose or it could result badly. It is necessary to write what each medication is being given for.
• Acquire and document feeding instructions from the client and count to make sure you will have enough for the entire stay. It is good to encourage the client to bring 2-3 extra servings in case of a prolonged stay, emergency, or if additional serving is required to maintain the dog’s weight due to the higher level of activity at Wilde Acres. Always document how many additional servings that are being provided. Each serving should be individually measured and labeled by the client to ensure that we are feeding the proper amount.
• Document any specific grooming instructions given by the client using good judgment if you will require the groomer to be present for the conversation or if the groomer needs to speak with the client via phone call at a later date and time. Asking the client what the best time for that call or email is best for them and making sure the groomer is aware.
• Make sure all shampoos and or other personal grooming items are labeled with the dog’s name.
• Document any other special needs or request specifics from clients so the entire team will be able to follow.
• Apply knowledge and skills in controlling/handling individual animal temperament to take dogs to their lodging upon check in. Place the run card on the assigned stall.
• Take the dog’s belongings to the correct locations within the facility to ensure items are not misplaced or mixed up with other dogs items by placing the feeding card on the dog’s assigned bin,placing the food into the assigned food bin, and placing the medications in the proper location.
• Inform the Kennel Manager of any serious health conditions any dog has right away. The Kennel Manager will decide the best way of monitoring the dog’s health while at Wilde Acres. The Kennel Manager will ensure that the entire staff will follow the process to ensure the dogs health during the stay. (It is important not to just document it in case it is not read or the run card gets messed up)
• Make sure all items are finished and properly handled each day before leaving for the night.

Pay: $15.00 – $20.00 per hour
