About the Job:

Experience in the property management field is helpful, but above that – we are looking for someone who is organized, motivated and ready to learn and adapt.

Basic Job Responsibilities:

• Tenant Communications: Managing incoming & outgoing communication to existing tenants via phone & email about day to day questions (FAQ’s), bulk notifications, (Tenant Wide Emails) and move in’s & move out’s.
• Lead to Lease Management: Managing the process of turning an applicant into a tenant. This involves marketing available units, screening applications, helping applicants understand our leasing process, answering questions, scheduling & giving tours, preparing leases accurately and communicating with applicants/future tenants to ensure a timeline return of all leases.
• Lease Renewals: Going through the process of asking current tenants if they would like to renew and if so, preparing new updated leasing packages for them.
• Tours & Viewings: Schedule, coordinate and provide tours/showings of units for potential new tenants. This means giving plenty of notice to existing tenants and ensuring a welcoming environment for the prospective tenant.
• Coordination with the Maintenance Team: Internal communication within the team is vital. When working to solve a tenant issue you’ll summarize concisely and provide key information clearly to our team to enable fast decision making with all the information required.
• Admin Data Entry & Confirmation: Ensuring that all data, documents, leases, etc. are up to date in the software we use to keep track of all tenant & unit information.
• Weekly Property Walk-Throughs: Walk each property weekly to have eyes on any issues, make suggestions about improvements and collect any laundry coin or observe any deficiencies that need to be addressed.

Apartment Turnover Management

• Pre-Turnover: Coordinate the notification, move outs and clean up expectations of existing Tenants. Also work with maintenance team to schedule walk-through’s & updates to units prior to move out. Coordinate move-in times, elevator bookings, paperwork for incoming tenants.
• During Turnover: Note – this is likely to be outside of normal working hours. Major Turnover in April/May and August /September requires extra time, energy & commitment. You’ll be present to coordinate the team and ensure Tenants are given what they need to move in. The team will all help with in & out inspections of units on turnover days per the schedule you manage for these.
• Post-Turnover: Security deposit returns, checking in with new tenants, ensuring all paperwork is up to date in the system and new tenants are happy upon move in.

Other Tasks & Project Contribution: When there are slow periods & downtime, helping out with ongoing projects, efficiencies, office cleanup, company social event planning, etc.

• Working knowledge of technology, software and email communication (experience with Zoho is a plus, and gmail is a plus)

Qualifications:

• Good employment track record
• Administrator experience
• Communications experience

Benefits & Expectations:

• Full time – 40 hours/week – employees may be required to work outside of normal business hours (9-4, M-F) as needed to accommodate move-in’s, move outs, tours and/or apartment turnover during busy season

Salary: $32,000.00-$42,000.00 per year
