Marketing
· Feature Sheet preparation including property remarks and distribution advertisement copy preparation and submissions – print and web. Creating flyers on Canva or sending to Cotala for proofs and approvals.
· Coordinate new listing photography, video and staging services
· Website maintenance and updates – link check daily for errors
· Facebook & Instagram maintenance and posting. Creating content and write ups when needed. Responsible for working with Ashley to create reels and editing them.
· Prelist and Buyer package updates, assembly and inventory monitoring gift list/promotional items maintenance and inventory control
· Work with marketing team to ensure they are up to date on current listings, open houses and new ads.
· Creating/designing marketing materials
Agent Support
· Prepare CMA’s, prelist and buyer packages for appointments and coordinate delivery when required
· Prepare listing appointment documents – as per Checklist open House preparation and communication
· Complete Listing and Buyer administration – as per Checklist
· Sale/Purchase administration – condition follow up, obtain lawyer information, trade record details, send vendor/buyer letters obtain and record client feedback after agent showings
· Managing emails 9-5 Monday to Friday.
· Managing Touchbase in a prompt, timely manner.
· Preparing listings for showings when needed. Turning on lights & opening door for Buyers agents.
· New strata listings à Read through documents and provide coles notes to agents. Put in Trello important information such as bylaws, CRF amount.
· Helping stage and de stage homes.
· Dropping off marketing materials at clients homes.
· Calling township or city when needed.
· Collaborating with mortgage specialists/brokers and ensuring they have all documents.
· Creating buyers tours and putting together buyers tour package
Customer Care
· Provide past and present clients with exceptional service, including: telephone/reception – direct calls/customer service, prequalify incoming callers as per scripts update and maintain automatic new listings email
· Weekly client contact/update and showing feedback organizing
· Client/Community appreciation event(s). Helping plan and organize and attending day of.
· Coordinate monthly contests/draw campaigns for newsletter
· Maintain up-to-date client contact records in database order closing gifts and coordinate delivery with agent
· Prepare handwritten cards (thank you, home anniversary, birthdays)
· Ensure data base is up to date and accurate
· Purchase/Sale documents are forwarded to appropriate parties (bank, lawyer) – same day of receipt
General Office
· Office organization, efficiencies and maintenance of all equipment and supplies.
· Miscellaneous mailers, deliveries, banking
· Database maintenance, computer and administrative tasks email/website maintenance with i.t. assistance
· Maintain all client files and filing system
· Complete and submit trade records, commission statements, expense reports
· Basic bookkeeping. Monitoring expenses through excel and sending to accountant.
· Paying invoices
· Tracking deals and keeping team on track for goals.
Other Miscellaneous Tasks
Personal errands time to time
Community Volunteer involvement – May be asked to accompany or help with volunteer work within working hours.
Organize Data Base and find best use of IXACT program
Learn RLP Sphere and best use of this program. Lead capture ads.
Organize Dropbox to best use.
Daily checks of Trello.
Provide daily recaps of what is needed from Ashley, Chelsea or Lori.
Invoice sent to Ashley 15th & 30th for salary & any bonuses if applicable
Creating new ways to build business and organize business
