We are looking for a highly organized and efficient Personal Assistant to provide support/managing the scheduling of the CEO, facilitating communication within the executive team and handling a heavy workload with a positive attitude in a fast-paced environment. The right candidate will be proficient with both Microsoft Word, Excel, and PowerPoint.

Responsibilities:

• Arrange complex travel, creating travel itineraries and being available during travel times to quickly address any last minute changes or cancellations.
• Calendar and meeting management. Liaise with external and internal stakeholders to arrange meetings in a timely manner, being available and able to adapt to various time zones. Ability to prioritize meetings as necessary.
• Administrative support.
• Produce letters, reports, presentations and emails as required.
• Work to ensure material for meetings, such as meeting packs, are created and distributed in a timely manner to all parties.
• Receive incoming communications on behalf of senior staff, review contents, determine importance level, and summarize and/or distribute contents to appropriate staff.
• Set up conference calls, video calls, meetings and events as required.
• Provide a single point of contact for information and data requests.
• Ensure all files are kept in an orderly manner.
• Handle office management duties such as supply ordering and inventory, liaise with property manager on office issues.

Job Types: Full-time, Part-time

Pay: $550.00 per week

Schedule:

• 4 hour shift
• 8 hour shift
• Monday to Friday
• Self-determined schedule
