We are seeking an experienced and polished C-Level executive assistant to work alongside a busy Principal to become an integral part of our team. This person will be expected to perform a variety of tasks for the Principal’s two major companies, help keep long-term projects on track, and handle urgent requirements. About the job:

Responsibilities include:

• Expertly manage complex calendars, making judgment calls and strategically prioritizing appointments, acting as a gatekeeper for inbound time requests, and scheduling meetings with internal and external stakeholders

• Ensure the executive is fully prepared and punctual for all meetings

• Assure owner’s email is up to date and he does not miss any pertinent communications

• Find a solution for document management so that things aren’t lost in email and can be easily found in the future

• Coordinate the logistics of leadership meetings, including scheduling, creating agendas, compiling materials, taking notes, and following up on action items with relevant stakeholders

• Provide task and project management expertise, staying up to date on multiple moving parts, and working cross-functionally to ensure projects are seen through to completion

Qualifications

• 10+ years of experience directly supporting a C-Level executive

• Superb communication and relationship building skills, able to create rapport internal and external stakeholders of all levels and personalities

• Proven ability to manage complex calendars with rapidly shifting priorities

• Ability to take initiative and ownership with little oversight in sometimes ambiguous situations

• Experience in project coordination and management and budget management

• Advanced knowledge of Microsoft Office Suite, most importantly Outlook

• Excellent written and verbal communication skills

• Ability to work independently while keeping multiple projects on track with competing priorities

• Must be a notary public

• Knowledge in property management and food services a plus
