Assistant Manager, Private Client Administration (Maternity Leave Contract)

We have an opening for an Assistant Manager, Private Client Administration to join our team. This is a hands-on management role reporting to the Senior Manager, Private Client Service & Administration. In this role, you are responsible for leading a team of front-line Private Client Service Associates based mainly in Toronto to support Client Relationship Managers (CRMs) either in person or remotely, delivering exemplary client service and flawless operational execution.
What You’ll Be Doing
- Leading, developing, and managing a team of administrative staff including recruitment, coaching, employee relations, learning and development, and performance management
- Overseeing and participating in the day-to-day operations of the Sales & Service Support team including pre-sales support, client onboarding, portfolio and trade administration, client reporting and relations.
- Guiding the team members with complex situations and escalations through clear direction and effective liaising with internal support teams, external service providers, and clients.
- Responsible for team’s performance within key operational areas including account opening, billing, trading, compliance and client service, monitoring high standards through available DI reports.
- Establishing strong rapport with the individual sales managers ensuring regular exchange of feedback.
- Analyzing current processes with a keen eye for operational efficiency and robust business controls.
- Developing, testing, and implementing new procedures to accommodate changing business needs.
- Acting as a key source of information for the team.
About You
- At least 3-5 years of back or front office experience with a record of increasing responsibility.
- Proven client service experience with the ability to handle complex issues and sensitive clients.
- Experience with training and mentoring others with the ability to manage conflict resolution.
- Excellent writing, listening, and presentation skills with a proven ability to communicate information effectively to all levels of the organization.
- Ability to effectively lead and motivate people to accomplish their goals.
- A natural talent for creative and independent thinking. The successful candidate is a continuous learner and always looking for ways to improve.
- Adaptability to competing demands and changes in the work environment.
- Critical thinking, attention to detail, proven organizational skills and multi-tasking abilities.
- Position requires a high level of professionalism, confidentiality, and ethics.
- Dependable/punctual, acting mentor and role model.
- A hardworking and positive attitude with a willingness to take ownership in the role.
- Undergraduate university degree, preferably in a related field
