Counterpart Strategies Hiring for Executive Assistant for Boutique Brand and Web Studio (Contract) at Remote Full Time

We’re seeking an Executive Assistant who will work remotely to help our brand studio prepare for growth while continuing to deliver brand and web strategies and designs to our clients that exceed expectations.

You’ll collaborate with our growing team to provide assistance on office management and project management tasks, to help us manage project progress, track processes, and improve efficiency.

What we need help with:

In this role you’ll help with tasks at every stage of a project, including:

• Setting up and updating online client spaces
• Setting up and updating project management spaces
• Assigning tasks, priorities and deadlines to internal team members
• Tracking progress for internal and client tasks
• Coordinating and scheduling meetings
• Assisting in client communications and status updates
• Assisting with implementing, tracking and updating Standard Operating Procedures
• Joining 1-2 calls per week

What we’re looking for:

• Proven experience as an Executive Assistant, Virtual Assistant or Project Manager in a relevant role – meaning you’ve helped other business leaders and teams to work at their most optimal levels
• Your attention to detail and organization skills will be a hallmark of your contribution to the team
• You geek out to organizing things like digital file folder hierarchies, CRM solutions and Project Management systems. In you’re free time, you might be found alphabetizing your bookshelves (or maybe you’re a color-coded organizer).
• Experience with CRMs, PM systems (such as Asana, Teamwork, ClickUp, or Notion), Zoom, Google Drive, Google Docs
• While you yourself are not a digital marketer, you’re no stranger to it and you’re excited to learn more about how you can support a team of designers and digital marketers.
• You’re a bit of an overachiever. Always looking for ways to improve systems and processes for greater effectiveness and efficiency – or just to make the process more fun.
• Responsive via email or chat – you won’t leave us hanging
• Knowledge of online calendars and scheduling
• Ability to maintain deadlines while working independently
• You’re able to seamlessly switch from task to task, working on multiple projects simultaneously
• You eat quick thinking and spit out problem solving for breakfast every day
• This should go without saying, but you’ll definitely need a reliable laptop or desktop computer & strong internet connection to perform this role
• You’re not just fluent in English, you’re an effective communicator
• You’ll leave your ego at the door to be one part of a greater whole. We’re all working and learning and growing together here.

Ideal, But Not Required:

• Additional qualifications as an Administrator or Executive Assistant are ideal
• Experience in an agency setting is ideal
• Experience working with or in small businesses will help you understand our clients better
• Familiarity with QuickBooks Online (don’t worry, we won’t have you doing any bookkeeping or accounting tasks)

Timeline:

This project will run from February to April 2023, with approximately five hours per week over the course of the project. Ideally, we’d like for this role to grow into an ongoing position, leading communication with current clients, improving office efficiency and playing an essential role in the studio.
