Diff Hiring For Office Manager at Montréal, QC Full Time
Are you a people person with an interest in managing an office environment designed to maximize employee experience and productivity?
As the Office Manager, you will be responsible for our downtown Montreal office space, ensuring a warm and welcoming environment for our staff team, customers and guests. You will also be actively involved in helping to develop our office reopening plans, ensuring safety protocols are implemented and followed. You will work collaboratively with the Executive Assistant and the HR team to support employee onboarding and culture building activities. You act as an ambassador of diff’s culture and plan activities for the company.

What you’ll do
Physical Office Space
- Assist in developing and implementing cleaning and safety practices to facilitate office reopening
- Monitor evolving public health and government guidelines and make recommendations about changes in practices
- Assist in developing and implementing capacity limits and guidelines for use of office spaces and meeting rooms
- Participate in developing communication and training materials for staff related to office use and safety practices
- Manage incoming and outgoing mail, ensuring all important documents are delivered to team members accordingly
Coordination
- Book travel arrangements for team members and clients as required
- Update and distribute the corporate calendar, ensuring all leadership members are aware of important dates
- Work closely with the finance team to submit expense reports, manage office related expenses, ensuring purchases are within budget and properly authorized
- Manage in office client meetings, including room bookings and coordinating catering services as needed
- Manage office supplies, including kitchen, snacks, cleaning materials and other employee request/orders
Equipment Management
- Deploy and manage laptops and other equipment (i.e. desks, chairs, monitors etc.), ensuring all team members have what is required for their roles. This includes resetting computers and installing required software
- Develop and maintain inventory of all equipment
- Complete and manage loan agreement forms, ensuring everything is up to date and accessible
Inventory
- Manage All deliveries to/from employees and to/from the office
- Manage swag, including keeping an inventory of items on hand, and advising Executive Assistant when orders need to be placed
- Package items for deployment to employees
Organizational Culture Development
- Take a lead role in planning and executing a holiday parties, events, clubs and social gatherings throughout the year for team members
- Coordinate awards submissions. Collaborate with HR Coordinator to answer questions, manage communications and submissions of award nominations
- Manage Perks Programs, including
- Holiday gifts, special deliveries etc.
- Flex dollars program
- Team outing budget to ensure appropriate monitoring and maximization of dollars available
- Promote various corporate events, encouraging participation through slack and other forums
- Develop, promote and monitor adherence to COVID safety protocols for all events
- Manage various diff clubs, including cycling club, frisbee team etc.
- Assist with development and distribution of monthly newsletter and other communications (slack communications, reminders, surveys etc.
- Liaise and communicate with external marketing contractors as needed
Software Licensing
- Account management: key fobs, computer serial number associated with each employee, office alarm, list of software and users
What you’ll need
- Be people oriented, organized and ready to improve our current processes
- A passion for people and creating an exceptional employee experience
- 1-2 years experience as an Office Manager or similar position
- Strong verbal and written communication skills
- Ability to work in a fast-paced environment
