· Responsible for administrative support to the sales department to ensure efficient utilization of time
· Process orders
· Create and check proposals
· Assist the Sales Engineers with lead/customer follow up, as requested.
· Performing internal audits of sales reports on weekly, monthly & quarterly basis
· Interface, correspond, and support our international offices and Authorized Reps
· Responsible for back up of reception and telephone duties
· Schedule meetings and coordinate calendars as requested
· Prepare and distribute, upon review and approval, departmental correspondence reports, memos, and projects from notes or drafts
· Support the sales team with CRM reports and contact data import
· Help assist with CRM system projects and requirements
· Record, transcribe and distribute meeting minutes within appropriate time frames
· Coordinate departmental correspondence to facilitate on-going communications and efficient departmental operations
· Communicate with co-workers, management, clients, vendors, and others in a courteous and professional manner
· Conform with and abide by all regulations, policies, work procedures, and instructions
· Conform with all safety rules and use all appropriate safety equipment
· Assist the Sales and other Departments as needed
· Perform other duties as assigned
Job Knowledge, Skills, and Abilities
· Must have 3+ years of administrative support experience
· Experience using Microsoft Dynamics CRM, or equivalent a plus
· Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
· Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
· Ability to solve problems independently using exceptional judgment and decision making
· Superior math skills and experience working in a fast-paced sales environment with pricing, proposals, etc.
· Ability to multi-task and communicate effectively via telephone and email
· Works well in a team environment and able to work with a diverse group of people
· Excellent verbal and written communication skills
· Advanced computer skills related to creation of reports and presentations in MS Word, MS Excel, MS PowerPoint, CRM
· Valid driver’s license
Education
· Business school, Bachelor’s Degree in Business, communications, or relevant field is a plus
