Candidates must meet the minimum qualifications listed below in order to be eligible for appointment:
Non-Competitive: Graduation from a High School Secretarial Program OR 1 or 2 years college curriculum in Secretarial Science OR 1 year experience working as Secretary; this training and experience includes typing – proficiency and formatting at 50 WPM and 6-9 credits in Office/Secretarial Procedures, Business Math/Accounting, Communications/Business English.
Duties Description
The Administrative Assistant 2 will function with a great degree of independence in providing professional level administrative support directly to Executive staff. An ability to function in a fast-paced and results driven environment is critical. Discretion, tact, confidentiality and diplomacy skills are essential. Other duties include, but are not limited to, the following:
- Schedules executive-level meetings, calls and conferences in a timely manner;
- Maintains and updates calendars and agendas;
- Manages ongoing communications with external stakeholders and Department staff, ensures prompt responses, schedules and prepares for relevant meetings and communications;
- Assists staff in the coordination of various activities, projects and programs among the Department’s Executive Office, other Divisions of the Department, other state stakeholders and regulated institutions;
- Reviews correspondence between external parties and elevates relevant correspondence when necessary;
- Drafts responses to correspondence as assigned by Executive Staff or to general correspondence not within the jurisdiction of any of the operational or other Divisions within the Department;
- Answers telephone, makes calls, and greets visitors and staff promptly and professionally, ensuring that schedules are kept, and stakeholders’ inquiries are promptly responded to; and
- Performs other duties as assigned.
Additional Comments
Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are also eligible to receive an additional $3,026 annual downstate adjustment.
Appointment to this position is pending Governor Appointment’s Office and Division of Budget approval.
