The PDP Media and IT Assistant is responsible for providing the Media and IT needs and high-profile support to DCEs Professional Development Program (PDP). Performs a variety of complex technical, analytical and customer service duties that ensure smooth and exemplary quality technology services. Coordinates, assists, and trains faculty and guest lecturers in the operation of computer hardware, audio visual, and other complex IT systems that ensure the delivery of Harvard-quality programming. This position reports directly to the Computer Lab Manager.
Job-Specific Responsibilities
PDP Tech Support Activities
Collaborate with program staff to understand all technical and AV programming needs; collaborate with Brattle media team to implement standardized instructional technologies and modifications. Assist Tech Lead to ensure all IT security protocols are in place and compliant with University standards
Establish, implement, and execute technical resource plans for individual programs and events
Float/Flex between multiple web conferences and classroom settings to ensure seamless delivery of programs. Responsible for assisting with variety of technical/analytical duties that arise for both on-campus and remote events; diagnose complex technical AV or computing problems as they arise
Interact with high-profile and global and domestic customer/learners requiring complex technical assistance. Liaise with diverse, international audience and provide pre-program advice aligned with specific teaching and learning goals and initiatives
Operational Activities and Projects Scheduling
Follow Google doc/Qualtrics Daily Playbook for programs and checklists; responsible for entering PDP operations schedule in the CRM
Schedules, plans, and delivers technical training to faculty/instructors six weeks prior to programming and events; coordinate instructor and participant schedules for pre-event review
Ensuring in advance that all needed technical staff are available and establishing back-up plans for absent technical staff
Coordinate and confirm logistics with media lab for computer hardware, digital media, AV equipment deliveries
Schedule and monitor equipment deliveries, equipment set-up/test, equipment returns
Technical Services and Training
Provide technical training to instructors and participants based on program needs (both on-line and in person)
Computer hardware checks, recommend and acquire equipment and peripherals, advise, and make recommendations for equipment purchases; network assistance, provide options for improving connections
Confirm all applications are up to date; anticipate and troubleshoot issues that may impact the quality of programming.
Advising Best Practices
Provide advice for proper online attire, eliminating distractions, setting up appropriate backgrounds, decluttering, reminders to turn off electronic notifications, etc.; monitor and ensure punctuality of staff and instructors
Provide technical sound quality advice; confirm volume, eliminate background and cellphone noises, etc.; manage pre-presentation tests for content, connectivity, etc.
Basic Qualifications
3-5 years of related experience providing customer service in a technological environment
Advanced knowledge of Mac/Window/Media equipment
Additional Qualifications and Skills
Bachelor’s degree preferred
