POSITION OVERVIEW
BDC is seeking an Executive Assistant to support our new Chief Operating Officer. The ideal candidate will be creative and enjoy working in a challenging, mission-driven, results-oriented and diversity-focused environment. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, coordination and organizational skills, and the ability to maintain a realistic balance between multiple priorities.

CHALLENGES TO BE MET
Support our new COO and her team with administrative tasks, including making requests related to computer services, managing supplies, travel arrangements and mail
Organize complex meetings and team conferences (e.g., multiple stakeholders, time zone differences, external guests, candidate interviews, etc.)
Ensure thorough follow-up for invoice processing and expense account management
Participate in the annual budget planning process, and monitor administrative expenses against budget
Assist in processing contracts
Prioritize conflicting needs, process files quickly and proactively, and follow them through to completion, often with time constraints
Provide a bridge for smooth communication between the team and internal departments
Develop and maintain liaison with external parties to ensure coordination of information and for various projects
Perform any other duties related to the nature of your position
Process various confidential data, such as reports, documentation, and correspondence
WHAT WE ARE LOOKING FOR
College diploma in office or business administration
5 years’ experience in an administrative support role to senior management
Strong coordination skills, including the ability to organize work and manage multiple priorities
Strong interpersonal skills and the ability to build relationships with external and internal stakeholders
Exceptional attention to detail and ability to perform under pressure
Excellent communication and writing skills in both French and English
Good knowledge of software – Word / Excel / PowerPoint
