The Opportunity

The Corporate Services team within Executive Council is seeking a highly organized, flexible, and detail-oriented administrative professional to join us in the role of Finance and Administrative Assistant. As a small, dedicated team, we work collaboratively to provide a high level of financial and administrative support services to Executive Council.

As the Finance and Administrative Assistant, you will provide professional office administrative support including:

• Purchasing, payment and procurement for the ministry with responsibility for purchase card reconciliation;
• Verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance;
• Reviewing ministry travel expense claims for policy compliance and approval submission;
• Tracking, summarizing and reporting ministry travel expenditures;
• Monitoring administrative processes and making improvements across the branch to ensure optimum efficiency;
• Drafting, recording, proofreading and/or editing a variety of correspondence in accordance with Government of Saskatchewan (GOS) visual identity standards;
• Managing incoming and outgoing correspondence ensuring proper distribution;
• Handling access to information requests by supporting the Freedom of Information Access (FOI) administrative process (tracking, monitoring, gathering, preparing response letters, filing, etc.);
• Assembling all briefing and background materials for the Executive Director in preparation for meetings;
• Planning, scheduling and coordinating logistics for meetings, training sessions and other events;
• Managing the Executive Director’s calendar through collaboration, prioritization and scheduling;
• Maintaining manual and electronic filing and records management systems;
• Reviewing and verifying information for various Board appointments; and
• Ordering supplies and handling office equipment issues.

Typically, the knowledge and experience required to achieve the above is obtained through:

• A combination of formal education in business or office administration, combined with work experience in a similar position;
• Experience using Microsoft Word, Excel and Outlook;
• Knowledge of the Government of Saskatchewan’s Financial Administration Manual (FAM) and experience using MIDAS Markview and iExpense would be considered an asset; and,
• Knowledge of the Freedom of Information and Protection of Privacy Act (FOIPP) and process would be considered an asset.
