GROUP & CORPORATE SALES ASSOCIATE
Proctors Collaborative is the Capital District’s leading regional arts organization with performing arts venues in Albany, Schenectady and Saratoga, and education, civic engagement and economic development initiatives throughout the region. The Group & Corporate Sales associate reports to the Director of Marketing and Corporate Relations. The administrative support, data entry and customer service position – based in Schenectady – supports both our audience development / engagement and our corporate development staff serving all of our venues and the Collaborative School of the Arts.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Audience development role:
In your audience development and engagement role you will work with our Audience Development and Engagement Specialist to foster group sales from schools, senior groups, private groups, churches, scouts, companies, civic organizations, charitable organizations, social organizations, travel operators and many other existing and potential partners. You will respond to incoming phone and email inquiries for group sales, and assist in new sales acquisitions. You will guide group sales patrons throughout the planning and buying process for their tickets and respond to questions which arise after the sale. You will explain theatre protocols, process payments – and ensure they are made on a timely basis – and facilitate the distribution of tickets to group members. In addition, you will:
Capture accurate and complete information in our customer relationship management and ticketing system, Theatre Manager.
Organize and maintain files necessary to operate group sales initiative efficiently.
Assist the audience development and engagement specialist with a variety of tasks including creating and scheduling social media posts for our private group sales Facebook page as well as our public social media pages; tabling at community events; among other duties. Corporate development support role: You will assist in corporate partner onboarding and renewals through verbal, email and in person communication channels. In addition, you will:
Review each contract for deliverables and coordinate with marketing and other depts. the activation of all benefits, including sponsor recognition and more.
Process sponsor ticket fulfillment requests.
Assist in preparing materials to be presented to prospects including proposals and appropriate correspondence.
Both roles:
In both roles developing new customer leads while retaining the current customer base through quality service is essential.
Additional requirements:
Event plan our annual corporate partner / membership reception and our annual group sales recognition reception.
Provide detailed progress and activity reports for both corporate and group sales as required.
And other duties as required.
POSITION QUALIFICATIONS
You must:
Possess a minimum of two years of relevant sales or customer service support experience.
Be comfortable with technology and willing to learn new tools and platforms quickly. Experience with Excel, database management and invoicing preferred.
Possess strong customer service and interpersonal skills with an ability to communicate effectively.
Work well independently.
Be well-organized, detail oriented, flexible and able to maintain a positive demeanor under pressure.
In addition, a background or strong interest in the performing arts is preferred.
