SHIFT OHS INC., located in Red Deer, AB, is an industry leader in the field of workplace testing (drug, alcohol, occupational health), workplace training, and policy development. Our team is seeking an experienced Receptionist or administrative professional with these same values. This key position requires someone who is highly organized and detail oriented, and who enjoys the challenges of a fast-paced environment.

We are seeking someone to start ASAP. This is a full-time permanent position (Monday to Friday, 8 am – 5 pm) with a starting wage of $20/hr.

Daily tasks will include:

Reception:

• Telephone answering (multi-line phone system) and directing calls
• Answering basic customer inquiries
• Greeting all customers and cheerfully assisting the numerous workers attending our office for workplace testing
• Developing professional yet personable relationships with our customers (when you can identify them by their voice and know their children’s birthdays, you get the proverbial gold star)
• Providing information, managing and maintaining a pleasant, relaxed, and controlled reception area

Appointment Scheduling:

• Obtaining pertinent information from customers in order to correctly schedule appointments (asking the RIGHT questions consistently)
• Scheduling appointments in Microsoft Excel and other software
• Reviewing third party work orders and confirming for accuracy within the appointment pages
• Utilizing the Microsoft Access database to confirm testing requirements
• Attention to detail and workflow, follow up and recognizing possible gaps

General Administrative Tasks:

• Courier preparation, taking payments, filing
• Follow up with Nationwide Network sites regarding outstanding test results
• Obtaining status updates on laboratory testing through use of electronic laboratory and medical review officer portals
• Assisting team members with tasks as required
• Communication hub of the office – knowing where each staff member is and what they are working on in order to assist the Operations Manager with ensuring a smooth workflow

Qualifications:

• Experience in a reception, office administration, or related role
• Passionate believer in providing OUTSTANDING customer service
• Dedicated to EXCELLENCE in all facets of their position
• A pleasing personality, demonstrates healthy assertiveness, and able to maintain friendly, respectful communication with staff and clients alike
• Self-motivated, able to show initiative, a creative thinker AND can take direction easily
• Dependable and reliable – must be present at the office EVERY WORKDAY
• Strong computer skills with a proficiency in Microsoft Office products (Word, Excel, Access, etc.)
• Excellent communication, interpersonal skills, and teamwork oriented
• Attention to detail, superior organizational skills, and the ability to prioritize and problem solved
• Demonstrated ability to handle highly confidential and sensitive issues in a professional manner while demonstrating a positive, helpful attitude and good judgment
