POSITION SUMMARY
Reporting to the Manager, HIM Registration and Data Integrity, this position will be handling busy phone lines and serves as the single point of contact for public access to COVID assessment services at St. Joe’s, including test scheduling by phone, responding to questions and concerns by phone and email, intake of test result records requests, processing cancellations and MyDovetale registration. The position will also be responsible for handling EMR data integrity issues flowing from online scheduling and registration of COVID assessment appointments and other administrative duties as assigned. Remote work likely available.
QUALIFICATIONS
- Grade 12 diploma required; College or University courses preferred
- CHIMA studies in progress or completed preferred
- Two years experience working in medical office or in hospital clerical/administrative role required
- 1-5 years medical office or HIM experience preferred, or combination of relevant experience and education
- Completed studies/certification in Medical Office, Communications, Computer Science/Information Communications Technology
- Demonstrated interest in gaining healthcare experience
- Call centre experience in an asset
- Demonstrated excellent telephone and customer service skills, communication and conflict resolution skills and comfort managing complaints and feedback
- Excellent clerical computing skills using MS Office suite (including MS Word, Outlook and Excel), be comfortable using telecommunications platforms like Zoom videoconferencing and phone
- Experience using Electronic Medical Record systems, preference given to those with experience using Epic EMR
- Candidate must demonstrate excellent discretion, respect and customer service, with a high level of sensitivity to the privacy of individuals and of system data
RESPONSIBILITIES
- Completes intake screening algorithm with potential patients by phone to determine eligibility for COVID assessment according to provincial guidelines, and schedules eligible patients for COVID tests in SJHH clinics, and provides visit information
- Handles COVID assessment centre and testing enquiries received by phone, email and web form, and responds on behalf of the hospital, in collaboration with Patient Relations, Public Affairs, Health Information Management and the COVID clinics
- Provides information and does intake for requests for access to COVID test result records according to PHIPA requirements, hospital policy and procedures
- Using Epic HIM functionality, performs data integrity (merge, purge and correction) for COVID test registration/Electronic Master Patient Index (EMPI) data in the hospital’s Epic EMR, escalating complex issues as needed to other HIM staff or manager
- Processes COVID test appointment cancellations to maximize availability of online scheduling
- Processes Epic EMR patient portal MyDovetale registration for patients and proxies and provides information to the public regarding MyDovetale
- Tracks issues and activity in centralized log and compiles statistics and reports as required
- Using Zoom phone platform, handles busy call centre telephone lines as well as email/web queries, redirecting queries as appropriate
- Participates in ongoing training and teambuilding, as well as process improvement
- Other duties as required

WAGE RATE
Hourly: $25.08 … $26.19 … $27.26 (plus 14% in lieu of benefits)
