Role Overview

As an Executive Assistant, you will be the linchpin to two of our executive team, managing day-to-day tasks, stakeholder engagement, and special projects. Your ability to communicate confidently with internal and external stakeholders, while maintaining discretion and confidentiality, will be pivotal in your role.

Key Responsibilities&Outcomes

• Support the assigned Executive members with tasks such as diary management, email coordination, and travel scheduling.
• Serve as a first point of contact for both internal and external stakeholders.
• Keep our Auckland offices running smoothly and efficiently.
• Ensure information flows seamlessly across business units.
• Organise and manage events, including supplier negotiations.
• Manage budgets and handle finance administration tasks.
• Prepare reports and assist with data analysis.
• Maintain an organised electronic filing system.
• Collaborate with the wider team on various organisational tasks.

Skills, Knowledge&Experience

• Proven experience supporting senior-level executives in a fast-paced environment.
• Excellent interpersonal skills and the ability to build strong relationships.
• Strong time management and multitasking abilities.
• Financial acumen and budget management experience.
• Proficiency in Microsoft Office and Google Suite products.
• Demonstrated discretion when handling sensitive information.
• Positive outlook and solution-focused mindset.
• Exceptional attention to detail.
• Ability to stay organised and composed under pressure.
