The Hollister Group Hiring for Senior Administrative Assistant Job at Cambridge, MA Full Time

Our client, an elite university in Cambridge, MA, is seeking a Senior Administrative Assistant for a temporary-to-hire position. The person in this role will assist a high-level faculty member who needs complex administrative support. Aside from having administrative experience, this individual must be poised, detail-oriented, and extremely efficient handling multiple tasks in a fast-paced environment. Experience in academia is preferred, but not required. This role will convert to a hybrid model after three months onsite, thus applicants must be able to commute to Cambridge, MA.

Prior to starting, candidates will need to pass a background check.

Compensation: $22 – $25 per hour (temporary); $51K – $55K (permanent)

Hours: M-F, 9:00am – 5:00pm (100% onsite)

Responsibilities:

• Address complex inquiries appropriately in a thorough and timely manner, escalating as necessary
• Process personnel and financial information for incoming students and faculty in collaboration with Human Resources
• Ensure lab members are up to date on necessary trainings and certifications
• Assist with the preparation of course material and other documents
• Compose and edit correspondence and other documents, gather and/or independently check content for accuracy
• Maintain accurate and up-to-date faculty CVs, publication lists, NIH Biosketch, etc.
• Attend meetings and record, draft, and distribute minutes
• Draft work area materials, e.g., briefings, newsletters, and other documents as needed
• Organize small projects and perform research and/or gather information for more complex project

Qualifications:

• High School diploma required
• 3+ years of Administrative experience, preferably in higher education
• Strong proficiency with Microsoft Office Suite
• Scheduling and calendar management skills
• Exceedingly fine attention to detail and the ability to anticipate issues proactively
• Strong verbal communication skills
• Excellent spelling, punctuation, and grammar
• Superior organizational skills
• Ability to resolve problems in a thorough and timely manner
• Ability to juggle multiple tasks and meet deadlines without compromising quality
