About Your Other Half
Your Other Half is a human resources consulting firm that helps small businesses grow. We partner with business owners to create happy, profit-generating teams through effective human resources and people operations practices.
We are an enthusiastic, entrepreneurial, creative team of sixteen, looking for someone who loves human resources, project management, and client communications to join our team and serve our clients. We currently have three open positions to help us to meet the growing needs of our clients.
About the Bookkeeper and Payroll Specialist Position
The Bookkeeper and Payroll Specialist will lead Your Other Half’s financial work, with a focus on financial reports, payroll, billing and accounts payable, while also acting as the lead payroll processor across all of our clients.
Key Results for 2023
Lead and execute all financial work for Your Other Half, ensuring detailed and thoughtful completion of all financial processes on a daily, weekly, monthly, quarterly and annual basis, as well as strong and focused communication about such processes with the CEO and other team members.
Process all client payrolls with accuracy, timeliness, and strong communication, in partnership with Your Other Half’s Client Leads and clients.
Update or create processes and efficiencies through careful observation, clear writing, and automation procedures, to ensure strong financial processes for both Your Other Half and our clients.
Work closely with the CEO and Your Other Half team to ensure financial policies and procedures are focused and clear, and that time – across the team – is spent in the places that are most important for the business, as well as client and team needs.
Roles and Responsibilities
The Bookkeeper and Payroll Specialist will be responsible for:
Provide consistent and clear communication to the CEO and other team members to ensure that all financial processes are well understood and managed, with a focus on working together with the team to ensure business success.
Review Harvest on a weekly basis, analyze and update time entries, and provide weekly time-checks to team members, so they can communicate the current time availability to clients regularly.
Own the monthly invoicing process for 50-100 bills, and ensure that all bills are completed thoughtfully and accurately, and sent to clients by the 5th of each month.
Reconcile our books in Quickbooks in a detailed manner on a monthly, quarterly and annual basis.
Compile and provide information as needed to our accounting firm to ensure that our taxes are complete and filed on time.
Manage all accounts payable include the receipt and confirmation of bills, timely payments, and billing of certain expenses to clients.
Ensure accurate filing and maintenance of all financial records for the business.
Work with Client Leads to process client payrolls in third-party softwares (currently Paychex, ADP and Insperity, although more may be added), aligned with Your Other Half SOPs and client needs.
Additional responsibilities may be assigned based on business needs and the individual’s interests.
Position type: This position is approximately 35 hours per week. There is a contingency period of 90 days. After a successful first 90 days, a regular, ongoing position may be offered but this is not guaranteed.
Start date: June 5, 2023 or any Monday thereafter
Position compensation: $30.00 per hour; as we are committed to equitable compensation, this is not negotiable
Position Location: This is a remote position, but the employee must be based in the U.S.

About You the Candidate
A strong candidate will be:
At least five (5) years of demonstrated bookkeeping experience with at two (2) years of those years in a fully remote environment;
At least two (2) years of demonstrated experience working with Quickbooks for financial statement management and with an invoicing software (such as Quickbooks, Harvest, Xero, etc.);
Demonstrated experience in a small business setting (ideally in a company with 50 or fewer employees) is strongly preferred;
A superb communicator, with excellent verbal and written communication skills, including a demonstrated ability to write and edit adeptly;
Calm under pressure and unflappable in the face of timely or urgent requests;
Able to not only do the work, but also think about how it could be better and more efficient;
SUPER detail-oriented, with the ability to ensure accuracy and high quality across multiple responsibilities;
Comfortable managing multiple responsibilities at once, and prioritizing amongst them with ease;
Experience with online tools including at least three of the following: Asana, Harvest, DropboxSign, Google Suite, Slack, and Zoom;
Able to learn new things quickly, especially web-based softwares and apps;
Able to provide clear information in a timely way to support internal or client decisions;
An openness to constructive, supportive feedback and a commitment to consistently improve; and
A team player, with a positive, optimistic attitude, and the ability to recognize and celebrate wins of all sizes;
Enjoy working in a fast-paced, ever-changing environment where the work day passes quickly; and
Ability to care deeply about their work, and to disengage mentally and emotionally before and after scheduled work hours as well as on weekends, holidays and during PTO for their own wellbeing.
The ideal candidate will be:
Experienced in working for multiple executives or projects at one time;
Experience in working for a consulting firm.
