About the Executive and Personal Assistant Position
The Executive and Personal Assistant will work with and for the CEO, as her right hand, assisting in managing the CEO’s day-to-day responsibilities, both personal and professional. The Executive & Personal Assistant will also support the Business Strategy and Operations Lead in the performance of team-based administrative duties.
The Executive and Personal Assistant will be responsible for performing the following responsibilities Monday-Friday:
Managing the CEO’s calendar and scheduling with an average appointment load of 35-70 appointments per week.
Managing the daily workflow of the CEO, creating blocks of work time in the schedule, and organizing and prioritizing Asana tasks, so that the CEO’s time is focused on producing work rather than organizing work.
Managing the CEO’s personal social channels, including inboxes and invitation management.
Maintaining weekly, monthly, quarterly and annual schedules, and ensuring certain appointments are made on those frequencies (whether for personal or professional engagements).
Filing, including managing digital filing systems on multiple platforms, labeling and organizing digital files, and aligning with applicable legal, company and personal requirements for filing systems.
Assisting the CEO with personal purchasing and ordering.
Organization and support for external communications, including review, organization and drafting of responses for email, phone/voicemail, and additional web-based platforms.
Troubleshooting any technological issues across systems such as Zoom, Google Drive, and Asana.
Managing key internal culture-based activities including birthdays, team events and YOH celebrations.
Managing company-wide calendaring needs including holiday closures, team absences, etc.
Filing, including managing YOH’s digital filing systems using Google and Virtru, labeling and organizing digital files, with a thorough understanding of managing confidentiality and access for each file.
Position type: This position is approximately 20 hours per week.
Start date: July 18, 2022 or any Monday thereafter
Position compensation: Up to $23-25 per hour, commensurate with industry standards and experience.
Position Location: This is a remote position, but the employee must be based in the U.S.

About You the Candidate
A strong candidate will be:
A former executive assistant, administrative assistant or personal assistant with at least three (3) years of demonstrated experience;
SUPER detail-oriented, with the ability to ensure accuracy and high quality across multiple responsibilities;
Ability to work in a consistently dynamic and fast-paced environment;
At least 2 years’ experience working in a remote environment;
Someone who delights in highly repetitive but still high-concentration work;
Comfortable managing multiple responsibilities at once, and prioritizing amongst them with ease;
Calm under pressure and unflappable in the face of timely or urgent requests;
A team player, with a positive, optimistic attitude, and the ability to recognize and celebrate wins of all sizes;
Highly self-motivated with the ability to take initiative without direct supervision;
A superb communicator, with excellent verbal and written communication skills;
Able to not only do the work, but also think about how it could be better and more efficient;
Confident to make recommendations and push back when changes are needed in workflows or systems;
Ability to learn new things quickly, especially web-based softwares and apps;
Experienced with online tools including at least three of the following: Asana, Harvest, Slack, Zoom and Google Suite;
Comfortable being highly responsive when required;
Able to quickly and naturally draft correspondence, and have a demonstrated ability to write and edit adeptly;
Able typing at least 60 words per minute, and possess strong working knowledge of Google/G Suite;
An openness to constructive, supportive feedback and a commitment to consistently improve; and
Someone who enjoys working in a fast-paced, dynamic environment.

Experienced in an entrepreneurial environment;
Experienced in a Mac environment;
Experience in working in a small business; and
Experience in working for a consulting firm.
